Google Gems have changed dramatically since their original 2024 launch. What started as essentially a reusable prompt can now work with your own files, connect to Google Drive, be shared across teams, and act much more like a persistent, specialized AI assistant.
But there’s a major catch: not every Gemini user gets the same experience. Free accounts face a much smaller context window than paid tiers, which can become a serious limitation once you start loading large manuals, reports, policies, or other reference material into a Gem.
In this video, we rebuild Google Gems from the ground up and look at what has actually changed since launch — from expanded access and file-backed knowledge to sharing, Workspace integration, and newer automation capabilities. Then we build a Gem step by step so you can see which settings actually matter.
The instructions are where most Gems succeed or fail. Instead of giving Gemini a vague one-line prompt, we break the setup into four parts: persona, task, context, and format. We also cover the Knowledge panel, uploading or connecting reference files, knowledge citations, Google Drive requirements, the preview system, sharing permissions, and the Gem Manager.
More importantly, we look at the kinds of Gems that are actually worth building. A Personal Knowledge Base Gem can answer questions from your own policies and reports. A Brand Copywriter Gem can stay anchored to approved terminology and style guides. A shared Business Operations Gem can give an entire team a consistent source for policies and product information. And an Adaptive Tutor Gem can turn your own notes and slides into a personalized study system.
But building a Gem is only half the job.
Before trusting one, you need to test it with realistic prompts and deliberately look for places where its instructions break down. Gems can still misread uploaded material, lose useful context during longer conversations, and behave differently than expected when their instructions are underspecified.
There are structural limitations too. Free-tier context limits can become a problem with large documents, there’s a 10-file ceiling per Gem, conversation memory doesn’t automatically carry between sessions, Gemini Live isn’t supported, and multi-Gem workflows still require manual work. Real-time web access also depends on the extensions and capabilities available to your account rather than simply telling a Gem to search.
So if you built a Gem back when the feature first launched and dismissed it as a saved prompt with a fancy name, it may be worth rebuilding rather than simply reusing it. The biggest upgrade isn’t the name or interface — it’s giving a specialized assistant the right instructions, your actual reference material, and a repeatable job.
